Policies Overview

The following policies are here to keep things simple, fair, and stress-free for everyone involved. They’re designed to ensure clear communication, safe working practices, and smooth delivery before, during, and after events. If anything is unclear or you’d like to discuss specific requirements, I’m always happy to talk things through.

Booking Terms & Conditions

Scope of Services

Services include live event support, system operation, troubleshooting, equipment hire, and associated technical services as agreed in writing. Any services requested outside the agreed scope may be charged additionally.


Equipment Hire

Where equipment is supplied on a dry-hire or operated basis, all equipment remains the property of the Contractor unless otherwise agreed in writing. The Client is responsible for the safe use, security, and return of all hired equipment. Loss, theft, or damage (excluding reasonable wear and tear) will be charged to the Client at full replacement or repair cost. Equipment must only be operated by competent persons or as directed by the Contractor.

Deposits

For confirmed bookings, the Contractor reserves the right to require a non-refundable deposit of up to 30% of the total quoted fee. Bookings are not considered confirmed until the deposit has been received. Deposits are deductible from the final invoice.

Payment Terms

Invoices are issued on completion of services unless otherwise agreed. Payment terms are 7 days from invoice date. The Contractor reserves the right to require payment in advance or in full prior to delivery of services where invoices remain unpaid.

Late Payment

Late payments may be subject to reasonable recovery costs and interest in line with the Late Payment of Commercial Debts (Interest) Act 1998.

Cancellations

  • Cancellations received more than 14 days prior to the event date will forfeit the deposit only.

  • Cancellations received between 14 days and 48 hours prior to the event may be charged up to 50% of the total quoted fee.

  • Cancellations received with less than 48 hours’ notice may be charged in full.

  • Call-outs cancelled after attendance has commenced remain chargeable in full.



Liability


The Contractor shall not be held liable for failures caused by third-party equipment, venue infrastructure, power, networking, untrained staff, or instructions contrary to professional advice.

Acceptance
Booking services constitutes acceptance of these terms unless otherwise agreed in writing.

All prices are exclusive of VAT unless stated otherwise.

Reactive Support & Call-Outs

This policy applies to all reactive support, troubleshooting visits, and unscheduled attendance requested by the Client.

Call-Out Fee
A fixed £100 call-out fee applies to all call-outs. This includes travel time and the first hour on site. The call-out fee is chargeable regardless of whether the issue is resolved, deemed user error, or results from factors outside the Contractor’s control.

Additional Time
Time spent on site beyond the first hour is chargeable at £40 per hour, billed in half-hour increments.

User Error & Staff Training
Call-outs resulting from user error, untrained staff, misuse of equipment, or deviation from agreed operating procedures remain fully chargeable.

Remote Support
Where appropriate, remote support may be offered prior to an on-site visit. Remote support is charged at £40 for up to 30 minutes. If an on-site visit is still required, the call-out fee applies.

Preventative Training
Where repeated issues arise, the Contractor may recommend staff training as a preventative measure. Training sessions are quoted separately.

Health & Safety

The Contractor is committed to maintaining a safe working environment for clients, venue staff, performers, and the public. All work is carried out in accordance with current UK health and safety legislation and recognised industry best practice.

Risk Assessment
Where required, the Contractor will undertake suitable and sufficient risk assessments for supplied services and equipment. The Client is responsible for providing accurate information regarding the venue, access, and any known hazards prior to the event.

Safe Working Practices
The Contractor reserves the right to modify or suspend work if conditions are deemed unsafe. This includes, but is not limited to, unsafe access, inadequate power provision, unstable structures, poor weather conditions, or unsafe working practices by others.

Equipment Safety
All equipment supplied by the Contractor will be maintained in a safe condition and suitable for its intended use. Equipment must not be modified, relocated, or operated by unauthorised or untrained persons.

Manual Handling
The Contractor will take reasonable steps to minimise manual handling risks. The Client is responsible for ensuring adequate access, suitable loading arrangements, and additional labour where required.

Electrical Safety
The Contractor will only connect to power supplies that are safe and suitable for the equipment provided. The Client is responsible for ensuring venue power systems are compliant and fit for purpose.

Fire Safety & Emergency Procedures
The Client remains responsible for venue fire safety arrangements and emergency procedures. The Contractor will comply with all site-specific safety instructions and cooperate with venue management.

Alcohol, Drugs & Fatigue
The Contractor will not work while under the influence of alcohol or drugs and reserves the right to cease work if others present are impaired or conditions become unsafe due to fatigue or misconduct.

Reporting & Cooperation
All parties are expected to cooperate on health and safety matters. Any incidents, near misses, or safety concerns must be reported as soon as practicable.

Responsibility
Health and safety is a shared responsibility. The Contractor cannot be held responsible for hazards outside their control, including venue infrastructure, third-party equipment, or actions of untrained personnel.


Rates

  •  Pre booked Engineer Day rate (up to 12 hours): £275

  • Call-out fee: £100 (includes first hour)

  • Additional call-out time: £35/hour

  • Remote support: Free 10 minute phone call to repeat clients 
  • Delivery/collection van charged @£40/each way in the greater Belfast area, beyond this surcharges apply
  • Equipment hire is negotiable and priced on a job by job basis
